When you need this form

Periodic inspections of leased premises protect both sides of the lease. They record how the tenancy is being used, whether fitout changes were approved, what maintenance is falling behind and whether anything on site is unsafe. Make-good disputes at the end of a lease are won on condition evidence collected during it, starting at entry and repeated on the agreed cycle.

Two years later, memory is worthless and the photo folder nobody labelled is nearly as bad. A live inspection ties each observation to a date, a room and an image inside one record, with the tenant representative able to sign at the time. That is the difference between negotiating make-good and arguing it.

What good looks like

• Each area photographed the same way every visit, so changes are obvious.
• Fitout alterations noted against what the lease actually approved.
• Tenant maintenance obligations checked, such as grease traps and exhaust cleaning.
• Safety observations recorded: egress, exit lighting, storage against sprinklers.
• Tenant representative and inspector both sign the record on the day.
