When you need this form

Buildings carry plant that has to be registered and inspected on a cycle: lifts, escalators, pressure vessels, cranes and similar items. Owners and managers are expected to know what is installed, who services it, when it was last inspected and whether registration is current. Regulators and insurers ask for the register first, usually before they ask anything else. A stale register is often the first sign that maintenance has drifted.

Handovers destroy registers. A building changes managers and the spreadsheet arrives with half the plant missing and no service contacts. A live register survives that, because each item carries its registration number, its inspection regime and its last certificate as an attachment. Due dates surface before they pass instead of being discovered during a claim.

What good looks like

• Each item identified by plant number, type, make, and location in the building.
• Registration details recorded, with the responsible person or entity named.
• Inspection regime stated: what is checked, by whom, how often.
• Service contractor and licence details held against the item.
• Current status and last certificate attached, with authorised sign-off.
